Privacy Policy

Your data belongs to you and stays on your device. Here is exactly what we collect and why.

Overview

HostaPRO is a locally installed desktop application. All data you enter - guest records, reservations, invoices, staff accounts - is stored exclusively in a database on your own computer. No data is transmitted to HostaPRO servers during normal operation.

This Privacy Policy explains what limited data we do collect, why, and how it is handled.

What data we collect

License activation data: When you activate your license, your license key and a hardware fingerprint are sent to our licensing server to verify ownership. This is a one-time event (and on renewal for Essential plans). The hardware fingerprint is a hashed identifier and does not contain personally identifiable information.

No usage telemetry: HostaPRO does not collect analytics, crash reports, usage statistics, or any behavioral data. The application has no background network connections outside of license validation and the optional WhatsApp integration.

Contact form submissions: If you contact us through the website contact form, we receive your name, email address, and message content. This is used solely to respond to your inquiry.

Your hotel data

All operational data - guest profiles, reservations, invoices, room configurations, staff accounts - is stored in a local SQLite database file on your computer. HostaPRO has no access to this data.

This data never leaves your device unless you explicitly export it using the built-in export tool or share it yourself (for example, by sending an invoice via WhatsApp).

You are solely responsible for backing up this data. We recommend using the Settings - Data - Export feature regularly.

WhatsApp integration

The WhatsApp integration uses the WhatsApp Web protocol to connect your existing WhatsApp account. HostaPRO does not store your WhatsApp credentials on any external server.

Messages and files sent via this feature are transmitted directly through your WhatsApp account following WhatsApp's own terms of service and privacy policy.

The QR code pairing is handled locally between your device and WhatsApp's servers, the same way WhatsApp Web works in a browser.

Business Plus - online mode

Business Plus users can enable online mode, which makes the application accessible from other devices over a local network or the internet. In this mode, traffic between client devices and the application server travels over your own network infrastructure.

HostaPRO does not proxy, inspect, or store any traffic generated in online mode. You are responsible for securing your network access (firewall, VPN, etc.).

Website cookies

The hostaproapp.com marketing website does not use tracking cookies or third-party analytics. We do not use Google Analytics, Facebook Pixel, or similar tracking technologies.

If we implement functional cookies in future (for example, to remember a language preference), this policy will be updated accordingly.

Third-party services

License validation is handled by our own licensing server hosted at hostaproapp.com. No third-party licensing services are used.

Payment processing for purchases is handled by our payment processor. Please refer to their privacy policy for how payment data is handled. HostaPRO does not store your payment card details.

Data retention and deletion

Because your operational data is stored locally, you have full control over it at all times. Uninstalling HostaPRO removes the application, but the database file remains on your system unless you manually delete it.

License activation records are retained by our licensing server for the lifetime of your license to enable re-activation and transfers. To request deletion of your activation record, contact support@hostaproapp.com.

Your rights

If you are located in the European Union or a jurisdiction with similar data protection laws, you have the right to access, correct, or request deletion of any personal data we hold about you (limited to license activation records and contact form submissions, as described above).

To exercise any of these rights, email support@hostaproapp.com. We will respond within 30 days.

Changes to this policy

We may update this Privacy Policy to reflect changes in our practices or applicable law. The effective date at the top of this page will be updated accordingly. For material changes, we will notify registered licensees by email.
